POSITION TITLE: Grants Coordinator

REPORTS TO: Director of Development and Marketing                                

HOURS OF POSITION: Generally weekdays with some evenings and weekends, as needed

STATUS: Regular, Full-Time, Exempt

REMOTE ELIGIBLE: Up to 75% of time can be worked off-site

SALARY RANGE: $42,500 – $45,000 annually

GENERAL JOB SUMMARY: Serves as a critical member of ICNC’s development team enhancing the effectiveness of ICNC’s ability to achieve its mission.

ESSENTIAL DUTIES/RESPONSIBILITIES

  • Serves as the primary grant administrator for the organization. Prospects, researches, writes, and manages all grants and grant awards from prospect identification through submission of the final report.
  • Maintains the annual grant calendar. Researches and plans ahead for all grant opportunities. Finds grant opportunities which align with ICNC’s strategic plan, team strategies and objectives, and benefit the organization’s mission.
  • Meets deadlines by establishing priorities and target dates for information gathering, writing, review, approval, and submission. 
  • Provides assistance and support to other staff who also have grant writing responsibilities.
  • Completes grant reports on schedule and with input from various team members implementing the grant funds. 
  • Uses organization’s CRM to track grants to ensure grant outcomes, goals, budgets and report details are shared with teams responsible for grant implementation.
  • Sets expectations to meet marketing needs for grant requirements such as photos, stories and promotions on websites, in public or on social media.
  • Works collaboratively and proactively with the marketing team for any design or presentation needs.
  • Studies and understands the history, structure, objectives, programs and financial needs of the organization in order to effectively align grant opportunities.
  • Maintains positive relationships with funders and other stakeholders.
  • Submits proposals to the Development and Marketing Director or appropriate leadership team member for review and approval before submission. 
  • Maintains quality results by using templates; following proposal-writing standards including readability, consistency, and tone; Uses appropriate grammar, punctuation, and writing skills.
  • Maintains records and inputs grant applications, confirmations, and other related documents into the CRM system. 
  • Prepares and submits quarterly grant reports to ED and supervisor. 
  • Assists during assigned special events.
  • Other related assignments as necessary.

Must be able to function effectively with moderate supervision, including organizing and prioritizing work schedule and tasks. Proficient with Google Suite or Microsoft Office programs. Exceptional time management skills. Excellent written and oral communication skills. Critical thinking skills including curiosity, open-mindedness, fair-mindedness, honesty and a willingness to become and remain well-informed. Ability to manage multiple deadlines. Strong writing, editing, and grammar skills. The ability to grasp abstract and complex concepts, ideas and possibilities. To view an entire system and how different aspects impact the various stakeholders, plan, organization and overall strategic goals. Ability to develop successful processes and systems for work efficiency and productivity.

GENERAL PHYSICAL ACTIVITIES: Sedentary to light work, primarily indoors.  Position involves constant (67-100%) sitting in an office setting, off-site travel, and sitting meetings. Constant (67-100%) reaching, standing, grasping, finger dexterity, talking, and listening to people in person or over the telephone.  Constant (67-100%) viewing of computer screens and other types of close visual work, including using a calculator, copy machine, and computer printer. Frequent (34-66%) walking, stooping, kneeling, crouching, pushing and pulling. 

MINIMUM QUALIFICATIONS: Bachelor’s degree in English, marketing, journalism, communications, or a similar field of study and demonstrated success with, and a minimum of 2-years’ experience in grant, RFP or proposal writing, or comparable and transferable skills acquired in a professional setting is required. In lieu of a bachelor’s degree, a minimum of 4-years’ experience in grant, RFP or proposal writing, or comparable and transferable skills acquired in a professional setting is required. Background in non-profit development is preferred, but not required. Must have a valid driver’s license and provide proof of coverage and maintain personal automobile insurance coverage, including liability.
